To collect payments from clients online in India, use one of four methods: a UPI ID or QR code, a payment link, a payment gateway checkout, or pay-at-booking through a booking page. UPI straight to your bank is the cheapest. A gateway costs about 2% plus GST on the fee, but it confirms each payment automatically.

This guide compares all four on fees, confirmation, refunds and GST invoices. It includes a decision table by profession and the UPI fee rules that start on 15 October 2026.

The 4 ways to collect payment from clients in India

Every method answers the same three questions differently. How much do you lose per payment? Who checks that the money actually arrived? And what happens when you need to refund? Here is the short version.

Option 1: Accept UPI payments to your own UPI ID or QR

This is how most Indian professionals start. You share your UPI ID or a QR code on WhatsApp, the client pays from any UPI app, and the money lands in your bank account in seconds. It costs nothing to set up.

The fee rules favour small sellers. The Department of Financial Services FAQ on UPI merchant charges, dated 15 September 2026, says person-to-person UPI stays free for both sides. It also says small merchants in the P2PM category, who receive up to ₹1 lakh a month through a UPI QR into their own account, keep zero MDR. If inward UPI credits cross ₹1 lakh a month for 3 months in a row, the account moves to the regular P2M category.

The cost of UPI-to-self is your time. These are the weak points:

  • Nothing confirms itself. You open the bank app, find the credit, and match it to a client by name or amount.
  • A screenshot is not proof. Always check the credit in your own bank app before you confirm a slot or start work.
  • Partial or wrong amounts happen. A client pays ₹1,200 instead of ₹1,500 and you now need a second awkward message.
  • Refunds are manual. You send the money back yourself and keep your own record of it.
  • Records live in your head. At tax time you rebuild a year of payments from bank statements.

UPI-to-self works well when you have a few regular clients who pay once a month. It breaks down when you take many small bookings a week.

Option 2: Payment links for freelancers and consultants

A payment link is a URL for a fixed amount. You send it on WhatsApp, SMS or email, the client pays by UPI, card, netbanking or wallet, and the gateway marks it paid. Razorpay Payment Links can be shared on SMS, email or WhatsApp and support taking an advance or instalments.

Fees come from the gateway. Razorpay's standard pricing page (last updated May 2026) lists a 2% platform fee on domestic cards, UPI, netbanking and wallets, 2.15% on corporate cards, no setup fee, and 18% GST on the fee itself. Cashfree's gateway charges page lists a standard platform fee of 1.95% plus taxes.

Here is what that means in rupees. These are worked examples at the standard rates, before any negotiated pricing.

Client paysRazorpay fee (2% + 18% GST)You receiveCashfree fee (1.95% + 18% GST)You receive
₹1,500₹35.40₹1,464.60₹34.52₹1,465.48
₹5,000₹118₹4,882₹115.05₹4,884.95
₹20,000₹472₹19,528₹460.20₹19,539.80

The formula is simple. Fee = amount × rate. GST = fee × 18%. What you keep = amount minus fee minus GST. On a 2% rate the total deduction is 2.36% of the payment.

UPI fee rules from 15 October 2026

The same government FAQ sets out a new merchant discount rate (MDR) for UPI from 15 October 2026. Person-to-merchant UPI payments up to ₹2,000 stay free of MDR. Above ₹2,000, a 0.4% MDR applies, capped at ₹300 for payments of ₹75,000 and above. The FAQ is explicit that “merchants on-boarded cannot pass on MDR charges to customers”, so do not add a UPI surcharge to your price.

  • ₹2,000 consultation paid by UPI to a merchant account: no MDR.
  • ₹3,000 session: 0.4% MDR, which is ₹12.
  • ₹50,000 project milestone: 0.4% MDR, which is ₹200.
  • ₹1,00,000 payment: capped at ₹300 instead of ₹400.

MDR is what the acquiring bank charges a merchant. A payment gateway adds its own platform fee on top. Razorpay's page, written before this change, already charged its 2% platform fee on UPI. Check your gateway's revised UPI pricing after 15 October before you compare options again.

Option 3: Website checkout, or accept payment without a website

Yes. You do not need a website to accept online payments in India. A UPI ID, a payment link or a booking page with built-in checkout all work from a WhatsApp chat or an Instagram bio. Here is how to set up a booking link in your Instagram bio. A website checkout only makes sense if you already run a site with steady traffic and want payments inside it.

If you do embed a gateway on your own site, you take on the setup, the testing and the upkeep. For a solo professional selling time, that effort rarely pays back compared with a link.

Option 4: Pay-at-booking (how to take online consultation fees)

If you sell time, such as consultations, sessions, classes or shoots, the cleanest method is to take the fee when the client books. The client picks a slot, pays in the same step, and the appointment confirms only when the payment succeeds. There is no invoice to follow up, and a client who has paid has a reason to turn up. Calendly cannot do this in rupees, which is why people look for Calendly UPI workarounds.

You can take the full fee or a part of it. Our guide on advance payment for appointments covers deposit vs full prepay, how much to charge by profession and how to word the refund policy.

How to set up client payments: step by step

  1. 01Fix your prices. A clear ₹ price per session, package or milestone makes prepayment easy to ask for.
  2. 02Choose your method from the table above. Use one main method so clients learn the routine.
  3. 03Separate business money. A dedicated bank account or at least a dedicated UPI ID makes records and tax filing easier.
  4. 04Write down your terms before work starts: amount, due date, what happens on cancellation, and how refunds work.
  5. 05Send one clear request: amount, what it is for, and a single UPI ID or link. Two options create delay.
  6. 06Confirm receipt in your bank app or gateway dashboard, never from a screenshot alone.
  7. 07Reconcile once a week. Match every credit to a client and an invoice.
  8. 08If you are registered for GST, issue a tax invoice for each payment. Ask your CA how to treat advances.

What to do when a client pays late

Even with good terms, some invoices slip. Send a short, friendly nudge before the due date, another on the day, and firmer follow-ups after that. Our payment reminder message templates give you copy-paste WhatsApp and email versions for each stage, each with a UPI link line. If a call suits the client better, use this script for asking a client for payment politely.

A simple rule

If the work happens at a fixed time, collect before that time. If the work is a project, collect in milestones. Chasing money after delivery is the most expensive way to get paid.

Collecting payment at booking with Book A Sloth

Book A Sloth is built for the pay-at-booking model. You get a booking page at bookasloth.com/yourname with fixed-price services. Clients pay up-front through Razorpay by UPI, card or netbanking, and the booking confirms automatically once the payment succeeds. Confirmations and reminders go out on email and WhatsApp, and GST invoices are generated for you. You can read how it works on the payments feature page.

The free Sloth plan charges 5% only on paid bookings. Sloth Active costs ₹399 a month or ₹3,599 a year with 0% commission. Razorpay's gateway fee of about 2.4% applies on both. Compare the two on the pricing page. A payment gateway fee is unavoidable for automatic confirmation, so the real choice is how much of the admin you want to keep doing yourself.

Common questions

Can I use my personal UPI ID to collect payments from clients?

Many small professionals do. The Department of Financial Services says person-to-person UPI is free, and small P2PM merchants receiving up to ₹1 lakh a month through a UPI QR into their own account keep zero MDR. A separate account for business payments still makes your records and tax filing much easier.

What does Razorpay charge for UPI payments?

Razorpay's standard pricing page, last updated May 2026, lists a 2% platform fee on UPI, domestic cards, netbanking and wallets, plus 18% GST on that fee. There is no setup fee. Check the page again after 15 October 2026, when the new UPI MDR framework starts.

How do I take online consultation fees before the session?

Use a booking page that takes payment at the moment of booking, or send a payment link and share the meeting link only after it is paid. Pay-at-booking is cleaner because the slot confirms automatically when the client pays, so you never chase anyone.

Do I need a website to accept online payments in India?

No. A UPI ID, a payment link or a booking page with built-in checkout all work from WhatsApp, Instagram or email. A website checkout is only worth building if you already have a site with steady traffic.

Will my clients pay extra if they pay by UPI?

No. The government FAQ on UPI charges says consumers pay no fee for UPI, and merchants cannot pass the MDR on to customers. Any gateway fee is your cost of doing business, so build it into your price instead of adding a surcharge. For setting that price, see how much to charge for consultation.

Which is cheaper: UPI ID or a payment gateway?

A UPI ID to your own account is cheaper, usually free for small sellers. A gateway costs about 2% plus GST on the fee. You pay that for automatic confirmation, refunds from a dashboard and clean records, which matters once you have more than a handful of clients.
