The ritual goes like this.
Someone wants an appointment. You agree a time. You ask for an advance, because you have been burned by no-shows. They ask where to send it. You type out your UPI ID, again, from memory, hoping you got a character right. Eight minutes later a screenshot arrives. You zoom in on it to check the amount. You mark something in a notebook. Then you do it again, forty times a month, forever.
Nobody decided to work this way. It accumulated.
Why the advance exists at all
It is worth being precise about what the advance is doing, because it is not really about money.
A free appointment costs the person booking it nothing to abandon. A paid one costs them something to abandon. That is the entire mechanism. You are not collecting revenue early; you are asking for a small amount of commitment, and commitment is the thing that fills the slot.
Which means the advance only works if it is *unavoidable*. An advance you have to chase is not a commitment device. It is another thing on your list.
The fix is ordering, not tooling
The single change that ends the screenshot dance is this: the payment happens before the slot is confirmed, not after it is agreed.
Not "book now, pay later". Not "pay to confirm" as a follow-up message. The payment is part of booking, in the same flow, or you are back to chasing.

What to charge as advance
There is no universal answer, but there is a useful heuristic: enough that abandoning it stings, low enough that it is not a decision.
For most Indian practices that lands between 20% and the full fee. A ₹2,000 session with a ₹500 advance is a real commitment and an easy yes. A ₹2,000 session with a ₹1,900 advance is a negotiation, and now you are selling twice.
If your no-show rate is genuinely bad, take the full fee. People who intend to show up do not mind paying in advance. That is, quietly, the most useful filter in the whole system.
A cancellation policy nobody was shown at the time of booking is not a policy. It is an argument you are going to have later. Put the terms in the booking flow, where they are agreed, not in a message you send after the dispute starts.
The invoice, before your accountant asks
If you are registered, the advance is a taxable event and it needs a proper invoice with a proper serial. Doing this by hand, monthly, in a spreadsheet, is how professionals lose entire weekends to a quarter that ended six weeks ago.
It should be automatic or it will not happen. That is not a moral failing; it is just what happens to admin tasks that depend on a human remembering.
