Tuition Fee Reminder Message: Hindi & English Templates

A tuition fee reminder message should name the student, the month and the amount, give the due date, and include a UPI ID, QR or payment link so the parent can pay in one tap. Send it to the parent privately on WhatsApp, start polite a few days before the due date, and get firmer only after a week.
This guide is for private tutors, home tutors and small coaching classes, not schools. It has a reminder schedule, a full sequence in English, the same sequence in Hindi and Hinglish, and messages for the awkward cases: fee hikes, vacation months, part payments and students who have stopped coming.
Fee reminder schedule for tuition and coaching classes
Most tutors collect a fixed monthly fee at the start of the month. This timetable keeps reminders regular without sounding like a recovery agent. The same tone rules apply whenever you ask a client for payment politely. The example uses a ₹2,500 monthly fee due on the 5th.

Write the due date and late rule in your joining message or fee card, once, when the student joins. Then every reminder only repeats a rule the parent already agreed to. For wording on late and missed classes, adapt the tutor version of these cancellation policy templates.

Many parents, especially grandparents who handle payments, read Hindi more comfortably. Use आप, address the parent as जी, and keep the amount and dates in numerals.

How to share a UPI QR or payment link with the reminder
The fastest reminders are the ones a parent can pay from without switching apps. Razorpay's Payment Links documentation describes links that work without a website, can carry an expiry date, allow partial payments and can send automated SMS reminders. A plain UPI ID or QR from your bank app also works for a small batch. For a wider look at the options, see how to collect payments from clients online.
- 01Save your UPI ID and a QR image in one place, for example a starred message in your own WhatsApp chat.
- 02Put the student's name and the month in the payment note or link description, so you can match payments later.
- 03Paste the UPI ID, link or QR into every reminder, even the polite ones.
- 04Ask for the UPI reference number instead of only a screenshot. It is easier to search in your bank statement.
- 05Mark the student as paid in a simple sheet the same day and send the thank-you message.
- 06Save each template as a WhatsApp Business quick reply so next month takes a few taps.
Parent-friendly etiquette for fee reminders
- Message the parent one-to-one. Never post pending fees or names in the batch WhatsApp group.
- Send between 9 AM and 8 PM. Late-night fee messages read as rude.
- Never mention fees to the student in class. Children feel it most.
- Use the same date every month, so the reminder is expected.
- Thank parents who pay on time. It sets the tone for the rest of the batch.
- Keep a written fee and refund rule. It helps when a parent disputes a month.
The Ministry of Education circulated Guidelines for Regulation of Coaching Center to States and UTs on 16 January 2024. As a PIB release from August 2026 notes, they expect coaching centres to publish details such as the fees charged, an “easy exit policy, fee refund policy”, and several states now have their own coaching laws or rules. When should a tutor send a monthly fee reminder?
Send a fee notice on the 1st, a friendly reminder two days before the due date, one on the due date, a gentle follow-up three days late, and a firm reminder a week late. Send a final notice only after about two weeks.
Is it okay to post pending fees in the class WhatsApp group?
No. Naming families with pending fees in a group embarrasses the parent and the child and often leads to the student leaving. Send fee reminders one-to-one, and use the group only for general notices such as holidays or a fee revision for everyone.
What should I do if a parent stops paying and the student stops coming?
Send one kind message asking whether the student will continue, mention the pending amount, and offer to settle for classes actually attended. Keep it in writing. If you run a registered coaching centre, follow your state's refund and exit rules.
Should the fee reminder include a UPI QR code?
Yes. A UPI ID, QR or payment link in the reminder lets the parent pay immediately instead of asking for details. Put the student's name and month in the payment note so you can match it in your bank statement.
